Position: Receptionist
Location: Shanghai
MANDATE
Under the supervision of General Manager Office, Receptionist is accountable for the function in the delivery of the clerical & administrative supporting services in maintaining an efficient operation environment of Shanghai Branch Office.
ACCOUNTABILITIES
1. Delivery and Administrative Efficiency
? Visitor check-in registration.
? Courier and Express delivery and receiving.
? Maintain various functions of front desk such as office ext. number list, visitor record, itinerary tracking and facilitating and travel arrangement for the office staff.
? Office stationery and consumption goods ordering.
? Office printing management such as business cards, envelops, etc.
? Act as the contact person with Property Company on matters relating to office or office equipment repairs.
2. Maintain Relationship with External Services Providers
? Maintain effective working relationship with external services providers.
? Engage & manage the service provided by vendors on matters relating to office admin.
? Provide assistance in functions or events, if needed.
3. Change and Innovation
? Offer input and provide support for continuous improvement of administrative processes.
KNOWLEDGE AND SKILLS:
a) Knowledge:
? College or University graduate
? 1 or 2 years relevant experience
? Good understanding of office administration, processes & procedures, and interrelationships
? Basic knowledge and understanding of delivery channel and its operation
? Proficiency in written and verbal English and Chinese
b) Skills:
? Good problem solving skills.
? Good interpersonal skills (Like good Telephone manners) and organizing skills.
? Documentation and computer skills
? Administrative skills in filing.
