Title: Administrative Assistant - Contract

Reports to: Contract Manager
Pay Status: Non-Exempt
Summary : This position provides administrative assistance to the Contract Management Team. All duties are performed in coordination with, and under the supervision of, the Contracts Manager. Duties include: filing of contracts; translating files; answering the phone call from potential client; and other duties as assigned.
Essential Duties and Responsibilities (other duties may be assigned):
Contracts
· Performs filing for all Callison contracts.
· Tracks receipt of signed contracts .
· Printing, binding & sending out contracts .
· Assisting Contract Manager to create standard contract template.
· Maintain new proposal list
Marketing :
· Answering phone call from potential client .
· Collect information of new project.
Accounting :
· Coordinate with accounting to issue invoice .
Other Duties:
· Meeting set-up and travel arrangements, as needed.
· General office duties, such as filing, faxing, scanni ng.
· Other duties, as assigned.
Knowledge, Skills and Abilities:
· Associate’s degree or equivalent experience required.
· Minimum two years experience in an administrative assistant position performing Business tasks.
· Advanced level experience with Microsoft Office programs.
· Ability to work effectively within a collaborative team environment, as well as independently.
· Ability to complete tasks with accuracy and with strong attention to detail.
· Ability to work with integrity, trust and commitment, setting an example for others.
· Ability to establish and maintain effective working relations with a variety of personalities and work styles.
· Fluent in Mandarin Chinese and English, written and verbal.
· Exceptional ability to communicate effectively orally and in writing, in English.
· Ability to organize and prioritize workload in order to meet multiple deadlines.
· Knowledge of general legal terminology and legal principles, helpful.
· Knowledge of architecture, including terminology and timeline, helpful
Physical Requirements/ Work Environment:
· Normal office environment with moderate noise levels, occasional, regular walking, sitting, bending, twisting, standing and reaching.
· Ability to perform consistent work on PC.
